Our primary purpose is to facilitate the exchange of physical Firefly mail and become pen pals, if you wish to. We are deeply committed to protecting your privacy and ensuring the confidentiality of your personal information, especially your address.

To operate The Firefly Mail Club, we must collect and store certain information from our members. The types of personal information we collect include:

  • Contact Information: This includes your name, mailing address, and email address. This information is essential for us to send you Firefly mail and/or letters.

  • Optional Information: You may choose to provide additional information, such as your age, hobbies, or interests. This information is used solely to get to know you better as a pen pal. Providing this information is entirely voluntary.

2. How We Use Your Information

We use the information we collect for the following purposes:

  • Club Administration: We use your contact information to manage your membership, send you important updates about the club, and process any payments (if applicable). Your address is shared ONLY with us for the sake of receiving physical mail.

  • Personalization: If you provide optional information about your interests, it's only used to write back and forth as pen pals.

  • Communication: If you opt in, we use your email address to communicate with you about your membership, new opportunities, and other mail club-related news.

3. Our Commitment to Your Address Privacy

This is the most important part of our privacy policy. We understand the sensitive nature of your mailing address and the trust you place in us. We have established strict protocols to protect this information:

  • No Sharing with Third Parties: We will NEVER sell, rent, or share your mailing address or any other personal information with third-party marketers, advertisers, or any other external company for their own use.

  • Limited Internal Access: Access to your full mailing address is restricted to a small number of authorized administrators who require it to perform the core functions of the mail club ( Sending out letters and Firefly mail).

  • Security Measures: We use a combination of physical, electronic, and procedural safeguards to protect the information we collect. This includes secure databases, encrypted communications where appropriate, and a commitment to keeping our systems and processes up-to-date.

You have control over your personal information. You have the right to:

  • Access and Update Your Information: You can request to view and update the personal information we have on file for you. Please contact us at thefireflymailclub@gmail.com to make this request.

  • Unsubscribe: You can request to unsubscribe and have all associated personal information deleted from our systems at any time. We will fulfill this request promptly, subject to any legal obligations we may have to retain certain records. Please note that once deleted, your information cannot be recovered.

  • Opt-Out of Communications: You can opt out of receiving non-essential email communications from us at any time by following the unsubscribe instructions included in our emails.

5. Data Retention

We will retain your personal information for as long as your membership is active and for a reasonable period thereafter to facilitate any necessary communications or account recovery. If you request to have your account deleted, we will remove your personal information from our active databases.
